How do I preview email templates?

Vantage Fit sends several types of system emails to your employees — welcome emails, challenge invitations, weekly summaries, and more. The Preview Emails feature lets you see exactly how these emails look with your company's branding before they go out.

Accessing Email Previews

  1. Log in to the Vantage Fit Admin Dashboard.
  2. Go to Configuration in the left sidebar.
  3. Click Preview Emails.

What You Can Preview

The Preview Emails page shows all system email templates available for your company. Each template is rendered with your company's actual branding — logos, colors, and banner images.

Common Email Templates

Email Type When It Is Sent
Welcome Email When a new employee is onboarded to Vantage Fit
Challenge Invitation When an employee is invited to join a challenge
Challenge Reminder During an active challenge to encourage participation
Weekly Summary Weekly digest of the employee's activity and progress
Challenge Completion When a challenge ends, summarizing the employee's results
Points Earned When points are awarded to the employee
Password Reset When the employee requests a password reset

Note: The exact set of email templates available depends on which features are enabled for your company. If a feature (like challenges or points) is not active, the related email templates will not appear.

Previewing an Email

  1. On the Preview Emails page, find the email template you want to review.
  2. Click on the template to open a preview.
  3. The preview shows the full HTML rendering of the email — exactly as employees will see it in their inbox.

The preview reflects:

  • Your company logo — in the email header.
  • Your brand colors — applied to buttons, accents, and highlights.
  • Your email banner — if you have uploaded a custom banner in Settings.
  • Sample content — placeholder employee names and data to show how the email looks with real content.

Checking Which Emails Are Enabled or Disabled

Some system emails can be enabled or disabled for your company. The Preview Emails page shows the status of each email template:

  • Enabled — this email is active and will be sent to employees when triggered.
  • Disabled — this email is turned off and will not be sent.

Note: Enabling or disabling specific email types is not self-serve from the dashboard. If you want to turn an email on or off, contact your Vantage Fit account manager.

How Branding Is Applied to Emails

Vantage Fit emails automatically incorporate your company's branding:

Banner image Custom email banner from Configuration → Settings (if uploaded)
Brand colors Your company's brand color settings (buttons, accents)
Background color Dynamically determined based on your company configuration
Footer Standard Vantage Fit footer with unsubscribe link

If you have not uploaded a custom logo or banner, the emails will use default Vantage Fit branding.

Tip: Upload your company logo and a custom email banner before your first challenge launch. Branded emails feel more official and trustworthy to employees, which improves open rates and engagement.

Best Practices

  • Preview before every major launch. Before launching a company-wide challenge, preview the challenge invitation email to ensure it looks right with your branding.
  • Review after changing branding. If you update your logo, banner, or brand colors in Settings, check the email previews to confirm the changes look good across all templates.
  • Test on mobile. While the dashboard preview shows the desktop view, most employees read emails on their phones. Send yourself a test email (if available) or check that the template uses responsive design.
  • Coordinate with your account manager. If you want to disable reminder emails (because they annoy employees) or enable a weekly summary (because employees find it motivating), your account manager can make those changes.
  • Check after onboarding new employees. If new hires report not receiving a welcome email, verify that the Welcome Email template is enabled and that your email domain is not being blocked by their email provider.
