When employees ask "Is my data safe?" or leadership wants assurance before rolling out Vantage Fit, this article gives you clear answers you can share confidently.
Where Is Employee Data Stored?
Vantage Fit operates in four separate regions: India, US, EU, and UAE. When your organization signs up, you choose a region, and all employee data stays in that region permanently.
- There is no cross-region data sharing.
- Each region is isolated from the others.
Note: Region selection is permanent. If your organization needs to change regions, contact your Vantage Fit account manager.
How Is Data Protected?
- Stored data — Sensitive employee information (profile pictures, phone numbers, and location data) is encrypted.
- Data in transit — Information sent between the app and Vantage Fit services uses encrypted connections.
- Login protection — CAPTCHA verification prevents automated sign-in attempts, and one-time passwords (OTPs) are required for sensitive actions like account deletion and password resets.
What Data Does Vantage Fit Collect?
Vantage Fit collects the following types of data from employees who use the app:
- Activity data — Steps, workouts, GPS routes.
- Health metrics — Weight, BMI, sleep, heart rate, mood.
- Challenge participation — Enrollment, rankings, team scores.
- Profile information — Name, email, department, profile photo.
- Lab reports (if enabled) — Uploaded blood test results for personal biomarker tracking.
What Admins Can and Cannot See
This is critical for employee trust. Be clear with your employees about this:
Admins CAN See
- Aggregate metrics — Company-wide and department-level enrollment rates, active user percentages, and wellness scores.
- Challenge data — Participation status, leaderboard rankings, and team scores.
- Employee reports — Registration status, last active date, and device type. These are participation reports, not health reports.
Admins CANNOT See
- Individual health data — Weight, BMI, body measurements.
- Health Risk Assessment details — Individual answers and risk categories.
- Lab report results — Biomarker values and health indicators.
- Personal tracking data — Mood logs, food diary, and sleep patterns.
Tip: You can tell employees: "Your HR team sees whether you are participating and your challenge rankings, but we cannot see your weight, health assessment results, lab reports, or personal health data."
Account Deletion
Employees can delete their own accounts at any time:
- The employee goes to Profile > Delete Account in the app.
- An OTP is sent to their registered email for verification.
- Once confirmed, their identity is anonymized. Historical activity records (challenge results, leaderboard history) are preserved for data integrity but are no longer linked to an identifiable person.
Note: As an admin, you cannot delete an employee's account on their behalf. The employee must initiate deletion themselves through the app.
Anti-Fraud Measures
Vantage Fit automatically validates step data to keep challenges fair:
- Approved sources only — Steps are accepted only from recognized fitness apps and devices (Apple Health, Fitbit, Garmin, etc.). Steps from unrecognized sources are rejected.
- Anomaly detection — Implausibly high step counts in short time periods are filtered out.
- GPS validation — For tracked workouts, the system checks that the recorded pace is within realistic ranges.
- Vehicle detection — During GPS workouts, Vantage Fit may stop the workout when movement looks like vehicle travel.
Data Retention
| Data Type | Retention Policy |
|---|---|
| Notifications | Deleted after 14 days |
| Activity and health data | Retained per your company contract |
| Deleted accounts | Identity anonymized; activity records preserved |
| Challenge history | Retained for the lifetime of your company on the platform |
Custom Privacy Terms
If your legal team requires specific privacy language or consent flows, Vantage Fit can add custom terms and conditions to the employee onboarding experience. Contact your Vantage Fit account manager to set this up.
Talking to Employees About Privacy
When rolling out Vantage Fit, address privacy proactively. Here is a message you can adapt:
"Vantage Fit tracks your wellness activities to power challenges, rewards, and health insights. Your HR team can see participation data (whether you joined a challenge, your leaderboard position) but cannot see your personal health data (weight, health assessment results, lab reports, food diary, or mood logs). Your data is stored in [your region] and is not shared with third parties. You can delete your account at any time from the app."
